Each year, the August intake semester usually starts on the Monday of the second or third week. One week prior, MURP UGM typically conducts a matriculation during the weekdays. Therefore, you are expected to arrive in Yogyakarta before this date and AFTER YOU RECEIVE YOUR STUDENT VISA. We would like to draw your attention to these following matters before your departure.
- You will need a 1-year student visa for your studies at UGM.
- Your visa will be processed by the Office of International Affairs UGM (OIA UGM) using the data already in our admission system.
- You will need to cover the visa application cost, with the procedure guided by the OIA of the Faculty of Engineering (OIA Faculty). It will cost IDR 2,700,000.
- For the recipients of the Faculty of Engineering Scholarship, your visa fee will be reimbursed upon arrival and opening a local bank account.
- You will get a notification as soon as possible once the visa has been issued.
- The visa is expected to be issued 2-3 weeks after your visa payment.
- PLEASE NOTE THAT FOREIGN STUDENTS ARE STRICTLY PROHIBITED FROM ENTERING INDONESIA WITHOUT A STUDENT VISA. Do not enter using a tourist visa or any other type of visa, as this will result in the cancellation of your student visa application. By doing so, you will need to reapply, repay, and leave Indonesia until your student visa is issued.
- You will need a 1-year KITAS as your living permit in Indonesia.
- Your KITAS will be processed by the OIA UGM using the data already in our admission system.
- 3. You will need to cover the KITAS application cost, with the procedure guided by the OIA of the Faculty of Engineering (OIA Faculty). It will cost USD 150.
4. For the recipients of the Faculty of Engineering Scholarship, your KITAS fee will be reimbursed upon arrival and opening a local bank account.
- Please be prepared financially. The average living cost for the international students in Yogyakarta is IDR 2,500,000/month.
- The recipients of the Faculty of Engineering Scholarship will receive support amounting to IDR 4,000,000/month.
- For self-funded students, please ensure you have your own financial resources.
- The recipients of the Faculty of Engineering Scholarship will be covered by a health insurance that will become effective upon 1-2 month(s) after arrival in Indonesia (after receiving the KITAS) and remain effective until the completion of the program in Indonesia. During the first two months, the recipients of the scholarship are suggested to independently subscribe an international health insurance.
- Self-funded students may subscribe to a health insurance policy as deemed necessary by independently bearing all the cost arising therefrom.
- During your studies in Indonesia, you can get first outpatient services for free at the Gadjah Mada Medical Center (GMC) by informing your student number to the front officer (https://maps.app.goo.gl/iE4VnJvAAEqQ7xn47). The services comprising of consultation and medical examinations by general practitioners, consultation and dental examinations, health education, minor medical procedures, provision of medication, laboratory services, psychological counseling, nutrition counseling, smoking cessation services, and limited fitness center services. In case advanced treatment is needed, you will be transferred to UGM Academic Hospital (https://maps.app.goo.gl/ECCf4PnG3n2WbUx1A). - In case of emergency, other than GMC, you can go to the closest hospital to the Faculty of Engineering, which is Sardjito Hospital (https://maps.app.goo.gl/PPiXbBL3n4sone8d9).
- There are limited direct international flights to Yogyakarta International Airport. You may need to stop at Soekarno-Hatta International Airport Jakarta (in Tangerang, Banten) or Ngurah Rai International Airport in Bali. The most convenient ways to travel to Yogyakarta from Jakarta are by airplane or train, and from Bali are by airplane.

- Please book your tickets for yourself.
- For the recipients of the Faculty of Engineering Scholarship, you will get IDR 7,500,000 reimbursement for your airfare upon opening a local bank account.
- Please ensure that you are in Yogyakarta to attend the matriculation program. You may also arrive one day before the matriculation program if you feel physically prepared to do so.
- You can stay in an on-campus dormitory or off-campus accommodation.
- If you visit this page (https://admission.ugm.ac.id/resources/housing/), you will find options for dormitories along with a contact number to book a room. The page also provides contacts to assist you in finding off-campus accommodations.
- If you are the recipient of the Faculty of Engineering Scholarship, you will get a room in a campus dormitory, OIA Faculty will help you to book a room and the payment will be directly sent to the dormitory. If you decide to stay in off-campus accommodation instead, you will need to book yourself and it will not be covered by the scholarship.
- You will get further information prior to your semester beginning in the matriculation program. In this program, you will also get guidance to choose your specialization (one from three options: neighborhood planning, urban planning, and regional planning).
- Please attend the program that will take place in a classroom on the 3rd floor in the Department of Architecture and Planning, the Faculty of Engineering (https://maps.app.goo.gl/fs9f52hiAUEfc1LS) starting from a week before the semester officially starts, it usually takes 3-5 working days from 08.00-16.00. The details will be informed later.
- Attending the matriculation program will likely be your first time entering the Faculty of Engineering area. Please be aware that the Faculty of Engineering has implemented a gated entry system. If you are using a bicycle, motorbike, or car (whether it’s yours, rented, or a taxi), you will need an entry card to open the gate. Visit the security office located in front of the Faculty of Engineering area (https://maps.app.goo.gl/NSasNhMtpL17Gejs5), borrow the card, and you may need to leave your (or your driver’s) identity card and take it back when you (or the driver) are (or is) leaving the faculty. To avoid the hassle, you can enter the faculty on foot; no card is required.
- If you already have a student card, you can use it as your access card to enter the faculty area. If it doesn’t work, you will need to register your student card in the gate system. Please approach the academic administrator on the 2nd floor of the Department of Architecture and Planning to register your student card, they will help in a few minutes. If it doesn’t work initially, you will need to follow the steps mentioned in point c until you can use your student card.
- You can complete your administrative tasks after the matriculation program or at any other time that is convenient for you upon your arrival. Please ensure that you do so during the office hours (08.00-12.00 and 13.00-16.00 GMT+7). Some information regarding your administrative tasks (which will be elaborated as follows) can also be found here: https://admission.ugm.ac.id/ (under the ‘Resources’ menu).
- Finishing your Registration
You can visit the Office of International Affairs of Universitas Gadjah Mada (OIA UGM at https://maps.app.goo.gl/dEqiFyyVPecgTjKL8) to finish your registration and visa-KITAS details. In the OIA UGM you can ask for an arrival form (if applicable). - After finishing your registration, you have to make Student Card, UGM Account, Fill the Study Plan.
- For the recipients of the Faculty of Engineering Scholarship, The OIA Faculty will assist you in opening Bank Nasional Indonesia bank account. This Account will be used as the recipient account for the scholarship funds.
Get a student card by bringing the arrival form from OIA UGM and your Letter of Acceptance (printed out) to the Directorate of Education and Teaching (Direktorat Pendidikan dan Pengajaran/DPP at https://maps.app.goo.gl/RinDBgiHtob2krtSA). In the DPP, you will have your photo taken using the alma mater of UGM.
If you lose your student card, follow these steps to get a replacement:
Obtain a Lost Property Receipt
Visit the nearest police station in your area to report the loss and request a lost property receipt. The process is free of charge. The police will provide the original receipt, and if you need additional copies, you can request them and have them legalized at the station.Visit DPP UGM
Take the lost property receipt to the Directorate of Education and Learning (DPP UGM), located on the south side of the UGM University Club. Information about the payment process, including the account number, is displayed at the front of the building. Bachelor’s students should pay through Mandiri Bank, while Master’s students should use BNI Bank. Security staff are available to assist you if needed.Make the Payment
Pay a fee of Rp 20,000 through the designated bank (Mandiri for bachelor’s students, BNI for master’s students).Submit the Receipts
Return to DPP UGM with both the payment receipt and the lost property receipt.Collect Your New Card
Wait in the designated area, and you’ll receive your replacement student card.
You need to set up your Single Sign On (SSO) UGM account. The guidelines are available here: https://admission.ugm.ac.id/resources/ugm-sso-account/.
Based on our experience, some international students have encountered errors while claiming their account and accessing their Simaster page (Simaster is the educational platform at UGM), which has caused some access limitations on Simaster throughout their studies. Therefore, for the smoother process, you are suggested to create your SSO UGM account directly at the Directorate of Systems and Information Resources (Direktorat Sistem dan Sumber Daya Informasi/DSSDI at https://maps.app.goo.gl/WtA4Gy8FAybQoADA8). The alternative, if you create it on your own and find some errors, please directly contact the DSSI through dssdi@ugm.ac.id.
Your student account is essential, providing access to personal data, academic records, and important information. Protect your login credentials to ensure security and privacy.
Enhance your experience by downloading the Simaster app, available on the Play Store and App Store, for convenient and efficient account management.
DSSDI can provide some legal software accounts that might be useful for your studies. The most essential is Microsoft Office 365. Additionally, you can get an access of Zoom, Google Workspace, SPSS, and CorelDraw (https://dti.ugm.ac.id/software-2). You can ask the access directly from the DSSDI office.
For scholarship recipients, the Office of International Affairs (OIA) will assist you in opening a bank account.
For regular students who wish to open a bank account to simplify financial transactions in Indonesia, follow these steps:
Consult Your Selected Bank
Visit the bank of your choice to inquire about the required documents for opening an account as an international student.Obtain a Sponsor Letter
Request a sponsor letter from the Office of International Affairs (OIA), as it is necessary for the account opening process.Wait for Processing
The sponsor letter will be prepared within 3–5 working days after your request.Prepare the Necessary Documents
Collect your ITAS (Temporary Stay Permit), passport, sponsor letter, and any additional documents requested by the bank.Complete the Bank Account Setup
Bring your documents to the bank and proceed with the account opening process, with assistance from the bank staff.
- Each student has a responsibility to fill out a study plan registration card prior to the beginning of each semester. Please kindly check the academic calendar later.
- The process shall be done through Simaster. Therefore, please ensure that you have no issues with your SSO UGM account as well as your Simaster.
